Custom Sales Avatar

The Process

How your best salesperson becomes an avatar that never sleeps

This is a done for you build, not a DIY tool. You approve the representative, participate in the capture process, and provide the sales material the avatar may use. Here is what happens before launch.

Step 1: Capture likeness and voice

We agree on the approved use cases and recording plan, then capture the chosen representative on camera with clean voice samples. From that material we build the face, voice, and delivery. Consent is written, usage rights are contractual, and revocation terms are documented before production. See how the consent process works in detail.

Step 2: Train on your data

This is what separates a custom avatar from a template reading a script. We train on the material your best rep carries in their head:

Product and pricing docs

Feature docs, pricing tiers, packaging rules, security and compliance answers. The avatar quotes your real terms, not approximations.

Call recordings and transcripts

Your best rep's discovery calls and demos teach the avatar tone, pacing, and the phrases that actually close.

Objection handling playbooks

Every objection your team has ever beaten, with the responses that worked. The avatar never gets caught flat footed.

Case studies and proof

Customer stories, metrics, and references, matched to the prospect's industry and size during the conversation.

CRM notes and won deal history

Patterns from deals you won and lost shape how the avatar qualifies, prioritizes, and pushes for next steps.

Help center and internal wikis

The long tail of product questions gets answered accurately instead of with a shrug and a handoff.

Step 3: Connect your systems

An avatar that cannot touch your systems is a talking brochure. Ours plugs into the stack you already run:

CRM

HubSpot, Salesforce, Pipedrive, or whatever you run. Every conversation logged, summarized, and scored. Hot leads routed to the right rep instantly.

Knowledge base

Notion, Confluence, help center, Google Drive. When your docs update, the avatar's answers update with them.

Calendar

Calendly, HubSpot Meetings, or Google Calendar. The avatar books qualified meetings straight onto your team's calendar mid conversation.

Website and product

Embedded on your marketing site, inside your app for onboarding, or on dedicated landing pages for campaigns.

Step 4: Deploy and refine

Launch is the start, not the finish. We watch real conversations, score answer quality, and feed every gap back into training. When the avatar hits a question it cannot answer confidently, it says so, captures the question, and routes the prospect to your team. Approved updates can then be added to the knowledge and test set under the support process defined for your deployment.

Timeline

The launch plan follows the approved scope

  1. Phase 1

    Capture and kickoff

A short recording session captures likeness and voice with written consent. In parallel, we collect your training material and map your sales motion: who buys, what they ask, what stalls deals.

  2. Phase 2

    Training and voice tuning

We clone the voice, build the avatar, and train it on your approved material. Then we test it against a representative set of prospect questions and revise weak or unsupported answers.

  3. Phase 3

    System connections

CRM, knowledge base, and calendar get wired in. We define routing rules, qualification criteria, and exactly when the avatar hands off to a human.

  4. Phase 4

    Launch and refinement

After testing and approval, the avatar goes live in the agreed channel. Conversation review and content updates follow the support plan defined for your deployment.

Timing depends on capture approvals, training material, integrations, languages, testing, and legal or brand review. We map those requirements before proposing a launch plan.
